Our process for converting medical processes into easy read
  • All content added to HERO Docs has been assessed against fixed criteria and as set out by our NHS Early Adopters and NHS England’s Accessible Information Standard.
  • We follow the social model of disability and value the input of people with learning and other disabilities as valued partners and employees.
  • New content created by clients can be moderated by our internal team prior being published within the system.

Our process for creating easy read

  1. To discuss with the document commissioner the purpose and target audience of the document.
  2. To review the current public facing 'mainstream' information
  3. To research any existing easy-read documentation regarding same/related issues from respected authorities including NHS trusts, DoH and Gov.uk.
  4. To compose easy read version from commissioner's mainstream information
  5. Provide first draft to commissioner for review and comment
  6. Make required amendments and provide images to easy read document
  7. Provide second draft to commissioner for review and comment
  8. Make required amendments if needed and compile as finished copy
  • We review information as and when requested

Evidencing of sources

We use only respected authorities, such as Department of Health, Public Health England, NHS trusts (various) and other governmental accessible and mainstream documents. We are mindful of publication date, documents more than 10 years old will not be used as reference for medical procedures, clinical data, guidelines etc as information may be out of date, and therefore mainstream and clinical documents would be accessed for research purposes to fact check. For example accessible documents regarding recommended weekly alcohol units are currently out of date as the guidelines were amended in early 2016, and therefore mainstream or clinical information from sources such as  NICE guidelines, NHS Choices etc, should be researched to ensure current information is provided in easy read.  We are also mindful of publication origin, documents outside of the UK will not be referenced to fact-check as procedures and systems will not be reflective of current practice in the UK.
 
Varying easy read and mainstream documents are 'sense-checked' prior to use, to assess they hold same/similar information, any issues appearing unclear or to conflict are raised with commissioner for clarification, while producing the script for the national CHC film we used this process and held meetings with scriptwriter and stakeholders (NHS/DoH representatives who are well informed with the main subject) to discuss outstanding issues and come to agreement. 

Expertise in identifying suitable evidence sources  

Our team member who compiles easy read documentation worked to complete a BSc in Occupational Therapy, and applies the same learning to critically appraise evidence sources as to all prior study, ie to research from respected authorities, within the UK base and from10 years prior only. 

Quality checking

We suggest clients check converted easy read with their user groups or can introduce clients to external user groups with expertise. In the future we intend to employ adults with learning disabilities to moderate easy read content
